Rules & Regulations

Make the most of your time at iQ Offices. Our guidelines help maintain a respectful, productive environment and ensure a smooth, enjoyable experience for everyone.
  1. We ask all Members to sanitize any shared space or amenities before and after use, including coffee dispensers, hot water dispensers, Vivreau dispensers, fridge handles, faucets, printer stations, etc. Disinfectant wipes are provided for this purpose.
  2. We encourage a Clean Desk Policy; this allows for thorough weekly cleaning provided by iQ and the building cleaning staff and allows for flexible working arrangements.
  3. We encourage regular sanitation of your private office spaces; including desktops, chairs, doorknobs, keyboards, mouse, and monitors.
  1. Please do not place posters on exterior windows. Do not post illegal, inappropriate or threatening content.
  2. Please do not place any personal items, such as furniture or any other objects outside of your suite.
  3. Please do not take furniture from the meeting rooms or common areas and move them to your office. Your office has a certain amount of furniture allocated to it. Additional furniture is available for a fee.
  4. Be mindful of overall cleanliness in public and private areas. Do not leave trash items in booths, bathrooms etc. Try to leave a shared space as you found it.
  5. Do not promote the use of our iQ Offices Reception phone line as your own company’s.
  6. Be aware of scents: try not to wear too much fragrance as others may have sensitivities.
  7. Be mindful that you are working in a shared space: keep your voice down when in public areas.
  8. Member offices are private spaces and individuals who are not a Member or affiliate of the Member company are not approved to access such suites.
  9. Be mindful of the time booked in meeting rooms. Please do not prolong your meetings as other members may be expecting to use the meeting room following your team.
  10. This is a shared space: do not use profanity, make inappropriate jokes, or make gender-biased, religious, or racial remarks that would offend fellow members.
  11. If you use or finish something—for example, the last piece of paper at the printer station, the last piece of toilet paper in a washroom or the last cup of coffee, please inform our staff members to ensure we are not inconveniencing others.
  12. Please use headphones when watching videos or listening to music that could be disruptive to others.
  13. If you have guests in the space, they are an extension of you. Please be mindful if they leave a mess or break any of the etiquette rules listed here.
  14. Don’t ‘park’ in the phone booths or wellness rooms. If you have back-to-back-to-back calls and you are spending all day in this shared area, be mindful this is a space for other members to access as well.
  15. No smoking or vaping is permitted in the building, or on exterior terraces.
  16. During Happy Hour, Members and Member guests are expected to behave professionally and consume responsibly. When participating in Happy Hour, Members and Member guests are limited to two beverages per person and are expected to make safe travel arrangements to leave the office.
  17. Please do not use the shared workspace as a backdrop for a photoshoot.
  18. Please do not leave personal belongings unattended in communal areas.
  19. Inappropriate language and sexual, physical or emotional harassment of any kind towards fellow Members or Staff will not be tolerated. Please be mindful during conversations and practice kindness.
  20. Unless it is an emergency, please do not demand immediate attention from our location Staff. They will jump in and resolve any issues as soon as possible, but please keep in mind that they may be helping another Member at that moment. We believe everyone should be treated equally. Having a larger office than another Member does not mean you get priority service.
  21. If you wish to host an event in our space, please organize it by reaching out to events@iqoffices.com. The space needs to be booked for this, (this includes filming or photography within our communal areas).
  22. Please keep our Staff informed of any business changes. For example: new Members joining your team or updates needed to your payment information.
  23. Please do not work from other Members’ designated workstations. Some Members pay for a specific dedicated desk each month.
  24. If you bring your children to work, do not leave them unattended. Ensure they are not disruptive to fellow Members.
  25. Please do not spam others through posts, personal messages or printed materials. We understand that this may be the nature of your business, but this does not mean you can market to fellow companies.
  26. Do not leave cheques on the reception desk when unattended.
  27. Do not make statements that could damage the reputation of other Members.
  28. Do not disrupt the professional work environment.
  29. Please try your best to sort the garbage, recycling and compost into the correct bins.
  30. If you borrow something from a communal space, please return it (e.g. the stapler from the printer station).
  31. If you are eating at the printing station, please do not leave sticky or liquid remnants on the counter (this could affect other Members’ documents if they place them on the counter).
  1. We are pleased to offer nationwide access to all our valued Members, allowing you to work seamlessly across multiple iQ Offices locations throughout the country.
  2. Nationwide access is designed to provide flexibility for occasional visits to different locations, allowing you to utilize our spaces wherever your work takes you.

  3. The maximum number of monthly visits is four per Member. Members who frequently work from a specific iQ Offices location may be contacted by our Community Team to discuss tailored solutions that best support their needs.

  4. To ensure a smooth visit to a different iQ Offices’ location, we kindly ask that you provide 24 hours’ notice by contacting the location you plan to visit via your Community team. This allows us to prepare for your arrival and provide the necessary assistance.
  5. As part of our nationwide access offering, you are welcome to utilize the lounge spaces at any iQ Offices’ location from Monday to Friday between 8:30 AM and 5:30 PM.
  1. Dishwashers are not for personal use.
  2. Remove any food items from the fridge by each Friday afternoon.
  3. Be a courteous eater. As you are working from a shared space, try to bring foods that do not leave strong odours.
  4. If you spill liquids or break glass, please clean it up or inform our iQ Staff, as we do not want to create a hazard for others.
  5. Please do not put personal dirty dishes away in the shared cupboard space.
  6. Please do not brush your teeth in the shared kitchen sink.
  7. Please place all iQ Offices-provided glassware and dishware in the dishwashers unless they are in operation. Avoid leaving them in the sink or on countertops whenever possible.
  1. The Community team will conduct regular rounds of patios between 9:00 AM – 5:00 PM, Monday – Friday.
  2. Just like other shared spaces, patios are still available to members outside of these hours; however, please kindly ensure that you are leaving the space as you found it (removing any garbage, setting furniture as it was, etc.).
  3. If patio furniture is covered, and you’d like to remove it temporarily, you may do so if weather permits, but kindly cover it when done.
  4. Patio furniture will always be covered at closing on Friday and when rain is in the forecast – please kindly respect this policy.
  5. Patios are shared spaces; please be mindful of your volume, as many are also working in the space and/or enjoying a break.
  6. There is no smoking or vaping permitted.
  7. Glassware is not permitted on patios. Your Community team would be happy to provide you with patio-friendly cups for use on the patio.
  8. We have a BBQ available, and this is a bookable resource, which you can reserve through the Member’s Portal. BBQs are only available to be booked for 2 hours at a time between 8:30 AM – 5:00 PM. If you wish to book the patio or BBQ outside of these hours, please connect with your Community team, who will coordinate with our Events department.
  1. All guests must be pre-registered with our iQ Community Team at least 24 hours in advance. Please contact your location team directly to register your guest.
  2. Be mindful of business practices in a shared space. Some company conversations should happen in private.
  3. Do not let strangers into the building to access office space and floors behind you without checking in at our reception desk—it is important to keep the safety and privacy of our space in mind. This is especially important on evenings and weekends.
  4. Do not lend your access card or fob and key to non-members. If you require a guest day pass, please inform our staff.
  5. Failure to return your access card will result in a lost/replacement fee of $250. Visit our Additional Services page for more details on one-time fees.
  6. Be responsible and respectful with internet usage. Do not participate in illegal online activities, visit websites with explicit information, or download from torrents over iQ Offices’ internet connection.
  7. Practice appropriate behaviour in our space. Do not act destructively, making other Members or iQ Offices Staff uncomfortable in the workspace.
  1. The Member cannot exceed the capacity of their private office at any given time. iQ Offices reserves the right to restrict access should the physical occupancy of the suite be exceeded.
  2. Do not stick/tape anything, or write on the glass frosting on the office walls. Do not post any signs or any illegal, inappropriate, or threatening content.
  3. Do not use the office space as a living space. This includes sleeping overnight in the office or at any time in the common areas.
  4. Please do not take furniture from the meeting rooms or common areas and move it to your office. Your office has a certain amount of furniture allocated to it. Additional furniture is available for a fee.
  5. Do not paint the walls of your office. Any requests to modify offices in this regard (e.g., whiteboard paint) must be communicated with the Community Manager.
  6. Please do not make any major network changes without informing iQ Staff (e.g., setting up your own circuit, nest cameras, etc.).
  7. Keep all business legal. We have zero tolerance for members participating in illegal activity within the space. Do not conduct fraudulent activity.
  8. Please do not install any items in your suite without written authorization from the iQ Staff, if it will cause damage. This could include drilling a safe into the wall or floor. Be mindful that when you move out of the suite, it needs to be brought back to its original state. If there are fees incurred for repairs, you will be billed.
  9. Do not light candles or anything that requires an open flame in the space.
  1. If you are picking up your mail, you will be required to show a government-issued ID.
  2. If someone else is picking up mail on your behalf, you will need to send an email to the Community Team that includes this person’s full name as seen on their ID. This person will be required to show their ID upon pick-up. Please advise the Community Team when they are no longer authorized to pick up your mail.
  3. All invoices must be paid in full for the Community Team to hand over your mail.
  4. As a Virtual Office Member, you are permitted to use the on-site amenities for up to 30 minutes after picking up your mail. If you would like to extend beyond this time, please connect with the Community Team to book a meeting room or purchase a Day Office.
  1. Guests are those who will be accompanied by iQ Offices Members (those who have been onboarded with iQ Offices).
  2. Guests are those who visit occasionally.
  3. Each iQ Offices Member is allowed the number of guest visits that matches their suite occupancy, each month. This means an office suite that has 6 workstations is allowed 6 guest visits total, per month. Should you, as an iQ Offices Member, require more guests on site than your suite capacity allows, you must book a meeting room or additional space on site. You can coordinate with our Community Team directly.
  4. Guests are to use your office suite during their stay – if they are interested in purchasing a Day Office for the use of an iQ Offices’ space for the full day, please connect with your Community Team for additional details on the process.
  5. Guests are not provided access cards or fobs and can arrive on-site during reception hours.
  6. All guests must be pre-registered with our iQ Community Team at least 24 hours in advance. Please contact your location team directly to register your guest.
  7. All guests are required to complete the Guest Registration Form upon their arrival each time.
  1. Please connect with your Community Team for guidelines regarding dogs on-site, as policies may vary between locations.
  2. Should you wish to bring your furry friend to one of our dog-friendly facilities, we ask that you reach out to your Community Team to obtain the Doggy Contract. This contractual agreement is mandatory prior to bringing your dog on-site.
